Store Staff Management

Add and manage staff members for your BookWish store.

Staff Roles

BookWish supports multiple staff roles with different permissions:

RolePermissions
OwnerFull access to all features, billing, and settings
ManagerInventory, orders, POS, reports (no billing)
StaffPOS, order fulfillment, basic inventory

Adding Staff Members

Invite Process

  1. Go to Shop > Settings > Staff
  2. Tap Invite Staff Member
  3. Enter their email address
  4. Select role (Manager or Staff)
  5. Send invitation

Staff Onboarding

When a staff member accepts:

  1. They receive an email invitation
  2. Create BookWish account (or link existing)
  3. Access your store's Shop features
  4. Role-based permissions apply automatically

Managing Permissions

Manager Capabilities

Managers can:

  • View and update inventory
  • Process orders
  • Use POS system
  • Handle trade-ins
  • View sales reports
  • Manage staff schedules

Managers cannot:

  • Access billing/subscription
  • Delete the store
  • Change store ownership
  • Add/remove other managers

Staff Capabilities

Staff can:

  • Use POS for sales
  • Process pickups
  • View basic order info
  • Handle trade-ins (with approval)

Staff cannot:

  • Modify inventory prices
  • Access financial reports
  • Change store settings
  • Invite other staff

POS Access

Staff Login

Staff members access POS through:

  1. BookWish app on store tablet/device
  2. Log in with their credentials
  3. Automatic connection to your store
  4. Role-based interface displayed

Cash Drawer Management

Staff with POS access:

  • Open/close shifts
  • Process cash transactions
  • Record drawer counts
  • Generate shift reports

Activity Tracking

Staff Activity Log

Monitor staff actions:

  • Sales processed
  • Inventory changes
  • Order updates
  • Login/logout times

Reports

Generate staff reports:

  1. Go to Shop > Reports > Staff
  2. Select date range
  3. View sales by staff member
  4. Export for payroll

Removing Staff

Revoke Access

To remove a staff member:

  1. Go to Shop > Settings > Staff
  2. Find the staff member
  3. Tap Remove
  4. Confirm removal

Their access is revoked immediately.

Account Handling

When removed:

  • They lose access to your store
  • Their personal BookWish account remains
  • Transaction history is preserved

Best Practices

Security

  • Use unique logins per staff member
  • Regularly review staff list
  • Remove access for departed employees
  • Monitor activity logs

Training

  • Train staff on POS procedures
  • Document store-specific workflows
  • Set clear inventory handling rules

Scheduling

  • Assign shift responsibilities
  • Ensure coverage for order fulfillment
  • Rotate cash drawer duties
