Managing Inventory

Day-to-day inventory management for your BookWish store.

Quick Actions

Adding a Single Book

  1. Shop > Inventory > Add
  2. Scan ISBN or search
  3. Set quantity and price
  4. Save

Adjusting Stock

  1. Find book in inventory list
  2. Tap to edit
  3. Update quantity
  4. Save with reason (sale, return, adjustment)

Removing Books

  1. Find book in inventory
  2. Swipe left or tap Remove
  3. Confirm deletion
  4. Book removed from website

Inventory Dashboard

Your inventory dashboard shows:

Summary Stats

  • Total Titles: Unique books in stock
  • Total Units: Sum of all quantities
  • Inventory Value: Total retail value
  • Low Stock Items: Books below threshold

Quick Filters

Filter inventory by:

  • Condition (new/used)
  • Category
  • Stock level
  • Recently added

Stock Levels

Understanding Quantities

FieldMeaning
QuantityTotal in stock
ReservedHeld for pending orders
AvailableQuantity minus reserved

Reservations

When a customer checks out:

  1. Items reserved for 15 minutes
  2. If payment completes → inventory reduced
  3. If abandoned → reservation released

Pricing

Setting Prices

For each book, set:

  • Price: Current selling price
  • Compare At Price: Original price (shows strikethrough)

Used Book Pricing

Common pricing strategies:

  • Percentage of new price (e.g., 50%)
  • Condition-based pricing
  • Fixed price categories

Inventory Sync

With Square

If using Square POS:

  • Sales in Square → inventory updates in BookWish
  • Changes sync within minutes
  • Manual sync available in settings

Sync Status

Check sync health:

  • Last sync timestamp
  • Sync errors (if any)
  • Force sync option

Bulk Operations

Bulk Price Update

Update multiple prices:

  1. Select books (checkbox)
  2. Tap Bulk Actions > Update Prices
  3. Enter percentage or fixed amount
  4. Apply changes

Bulk Quantity Adjustment

For inventory counts:

  1. Export current inventory
  2. Update quantities in spreadsheet
  3. Import updated counts
  4. Review differences
  5. Confirm adjustments

Categories

Organizing by Category

Assign categories for:

  • Website navigation
  • Reporting
  • Quick filtering

Default Categories

  • Fiction
  • Non-Fiction
  • Children's
  • Young Adult
  • Classics
  • Poetry
  • Local Authors

Custom Categories

Create categories specific to your store:

  1. Shop > Settings > Categories
  2. Add new category
  3. Assign books during entry

Location Tracking

Why Track Locations?

Location codes help staff:

  • Find books quickly for orders
  • Conduct inventory counts
  • Reorganize efficiently

Location Format

Examples:

  • FIC-A3 (Fiction, Shelf A3)
  • KIDS-BOARD (Children's, Board Books)
  • USED-1 (Used section, shelf 1)

Inventory Health

Regular Audits

Recommended frequency:

  • Spot checks: Weekly
  • Section counts: Monthly
  • Full inventory: Quarterly

Discrepancy Handling

When counts don't match:

  1. Document the difference
  2. Investigate cause
  3. Adjust inventory with note
  4. Update procedures if needed

Reports

Stock Report

Current inventory snapshot:

  • All titles with quantities
  • Value by category
  • Low stock alerts

Movement Report

Changes over time:

  • Sales
  • Returns
  • Adjustments
  • Shrinkage

Dead Stock

Identify slow-moving inventory:

  • Days since last sale
  • Quantity on hand
  • Suggested actions (discount, return to vendor)
